Default "Forms" folder shared with secondary po

We set up a shared folder on an admin's mailbox called "Forms". This folder contains "draft" emails, which are basically templates that users fill out info in and then send it off. Has destination addresses already entered, etc.. in case you're wondering, the users dont have delete rights, so when they send the form, they get an error because GW tries to delete the 'draft', but the form does send.

Problem I'm having is users in a secondary post office are saying that the folder has missing emails every morning, like some sort of maintenance routine is running and wiping them out. This didnt use to happen, so we have to resend them the folder and its fine again. Any ideas as to why this happens? Thanks
